CCS Construction Staffing, based in North Carolina, is a leading temporary staffing firm in the construction staffing industry. Its field reps visit construction sites to collect data on the contractors working on the project and reach out to them, offering tailored staffing services.

The Challenge

File-based data transfer from HubSpot to their route planning software was tedious and led to suboptimal visit plans

With CCS’s previously used mapping software, managers had to export records from HubSpot and manually upload them, and then assign them to sales reps. This process was taking up valuable time and slowed down visit planning.

Also, with the company’s previous mapping software, it was impossible for CCS to color-code leads based on custom HubSpot fields and prioritize visiting leads with higher potential, as well as to have sales reps who specialize in certain products focus on leads with high conversion potential for their products of expertise.

Routing through a single CRM object limited sales reps’ efficiency

The previous route planning software did not let sales reps utilize more than one type of  CRM object, like HubSpot leads and companies, in a single route. This forced reps to choose one type over the other, reducing the efficiency of their routes and increasing travel time.

Manually transferring post-visit data to HubSpot led to data loss and slower processes, hindering sales opportunities

In order to enter information collected during contractor visits into HubSpot, field reps had to take notes during their visits and then manually input these notes into HubSpot upon returning to the office. This process doubled the time needed to collect visit data and often led to data loss as reps weren’t able to recall all of the information at the end of the day. It also prevented the company’s management from accessing real-time performance metrics or responding quickly to changing operational conditions.

When new HubSpot leads are added, they are automatically synced to Mapsly, including their custom fields, which play a crucial role in further business processes. This significantly cut down admin work that used to take up several hours per week.

Field reps can now create multi-object routes and improve their own efficiency

Field reps at CCS Construction Staffing can now plan their routes using various HubSpot object types, which wasn’t possible with their previous mapping tool. This flexibility allows reps to optimize visiting leads by reducing travel time, thus tripling their productivity.

Using Mapsly’s forms and automation capabilities, CCS Construction Staffing can script the entire visit scenario. When sales reps visit construction sites, they follow a specific list of questions and complete a check-in form when they exit the location. 

Once submitted, Mapsly automatically syncs the collected data to CCS’s HubSpot leads record. This eliminates the need for post-visit data entry, reduces human error-caused data loss by 30%, and frees up sales reps’ time. 

Seeing visit data directly in the CRM in real-time gives the company’s management better insight into the sales team’s status/performance. Management can view leads that are color-coded by follow-up status, making sure high-value leads are prioritized.
