The Challenge

Manual distribution of service jobs was very laborious

Zeitview’s dispatchers assign service jobs to technicians based on availability and location. Before Mapsly, it required calling every technician to check their availability, which was very labor-intensive

Lack of visibility into field activities

Before implementing Mapsly, Zeitview lacked a way to monitor the team’s real-time location and status of service jobs. This was impeding management’s ability to resolve performance issues quickly.

Quick and reliable data collection during visits was challenging

After visiting customer sites, Zeitview’s technicians had to enter many data points about the inspected site. Sometimes, data entry was delayed or entered data was incomplete. This delayed customer reports and negatively impacted the overall quality of service.

Zeitview fully automated the process of service job assignment on the Mapsly platform. When a job is ready for assignment, Mapsly automatically finds available technicians that match the job’s requirements and texts them a request for assignment with the link to accept the job. 

Whoever accepts the job first is assigned the job and is texted the confirmation, while the others receive a notification that the job has been assigned and is no longer available. Once the job is accepted, Mapsly also sends email alerts to appropriate team members.

Automated email alerts reduced admin work, helping gather data faster

Using Mapsly workflows, Zeitview has implemented more than 20 email alerts that are triggered by various events (or the lack thereof), including reminders, requests for additional information, updates on job status changes, and more. 

Job checklists ensured consistent quality of data collection during visits

Using Mapsly Forms and the Mapsly mobile app with location tracking, Zeitview has implemented check-in and check-out processes. These ensure that technicians follow the required procedures for each service job and collect and record all necessary data. This standardization improves consistency in service quality and data collection, reduces delays, minimizes missing data points, and allows for more comprehensive data collection during visits.

For example, as part of the check-out process, Mapsly records the completion of a service job, allowing Zeitview to monitor new performance metrics such as actual job duration. This also improves safety by automatically notifying a technician’s manager if there is a delay in clocking out.

Comprehensive performance dashboards provided transparency and increased the company’s agility

Zeitview utilized Mapsly Analytics to create charts and dashboards with relevant real-time performance metrics and statistical data. This enabled company management to quickly adjust to the changing operational environment, better utilize available resources, and quickly identify and exploit opportunities to improve company processes and customer service.

Among other things, they show the number of reps working on the site and the amount of data they have collected.
